Trello Integration (via Zapier)


About This Integration

You can integrate third-party systems with Product name - ev itsm.png in many ways. The method you select will depend on business requirements, architectural and security constraints as well as the characteristics specific to each third-party application or service.

This document describes an integration process that has already been implemented in a customer context.

Integration summary

Trello is a SaaS Project Portfolio Management tool inspired by Toyota’s Kanban method. 

You can perform 2 integration between Service Manager and Trello using Zapier:

  • Carry out actions in Trello from an Service Manager  workflow or business rule.  Open url.png See Integration Process no. 1.

    example  Validation of a change in SAP software, in a Service Manager change management workflow step, entails using Trello to create a new card with the change request number as its name. This is used by the Design and Development division, in a list of Validated SAP Change Requests from a SAP Development Follow-Up board.

  • Carry out actions in Service Manager using Trello.  Open url.png See Integration Process no. 2.

    example  Creation of a new card in Trello, in a New training courses list from a New training catalog board used by the Human Resources department entails creating a Analyze new training service request within Service Manager, with the description of the Trello card.

Integration Process no. 1: Service Manager to Trello

Carry out actions in Trello from an Service Manager workflow or business rule requires to use a zap with a Zapier REST action

Step-by-Step Integration Process

Step 1: In Zapier, initializing a zap (trigger in Service Manager).

1. In Choose App step, click the Webhooks Webhooks icon.png icon.

2. In Choose Trigger step, select the Catch Hook option.

3. Copy the URI provided by Zapier, useful for step 2.
         example  https://hooks.zapier.com/hooks/catch/799810/mtmjbz/

Step 2: In Service Manager, creating a Zapier REST action.

   Open url.png See the procedure How to configure a new resource and associate it to a REST action type.

1. Create a connection and a resource for the Zapier service.

  • Go to the Administration > REST > Services menu.
  • Create a connection to the Zapier service.
  • Create a resource attached to the Zapier service.

2. Add a REST action using the esource created previously.

  • Go to the graphic editor of the process (workflow / business rule).
  • Click and drag the new resource from the REST Actions category to the graphic editor.
     

Step 3: In Zapier, finalizing a zap (action in Trello).

1. In the Choose App step, click the Trello Trello Software icon.png icon.

2. In the Choose Action step, select the action you want.
         example  Create Issue action

3. In the Set Up Template step, configure the options.
Note: To use values of Service Manager fields (e.g.: rfc_number, description) and assign them in Trello, the Webhook must be used at least once. For this to happen, execute the Zapier REST action via the workflow or the business rule.

4. Activate your zap via Your zap is on.

Integration Process no. 2: Trello to Service Manager

Carry out actions in Service Manager using Trello requires to use a zap with Service Manager REST API from Trello.

2. In the Choose Trigger step, select the action you want.
         example  Updated Issue action

3. In the Set Up Options step, configure the options.
 

Step 2: In Zapier, finalizing a zap (action in Service Manager).

1. In the Choose App step, click the Webhooks Webhooks icon.png icon.

2. In the Choose Action step, select Custom Request option.

3. In the Set Up Template step, configure the options.
