Consumable Catalog
Definition
The consumable catalog lists all items that are not managed as asset (e.g. mouse, keyboard or cables), as well as certain provisions (e.g. Application Management training days).

- To simplify catalog management, entries are grouped by type.
- Each consumable is associated with a single entry in the catalog and inherits its attributes.
- Updates to stock can be made:
- Via manual adjustments for each storage location.

- Via replenishment orders in investment requests or service requests.
- Via destocking actions (outside the workflow) in the resolution of an incident or service request.

Example
You want to make an investment request for the Toner cartridge C8061X consumable model.
1. You create a consumable model Toner cartridge C8061X.
- Attached to the Consumable/Toner cartridges
- Unit price of the cartridge = $57,40
2. You create a Toner cartridges order service in the investment catalog.
- This will order a batch of five C8061X cartridges.
3. You create an investment request for this service.
- Quantity = 3 batches ==> 15 C8061X cartridges are automatically ordered from the supplier
- Total price: 15 * 57,40 = $861
4. When the cartridges are received, a delivery is created ==> This creates a stock entry.
Notes
- Once stock adjustment is performed in one of the following tabs, Add to Stock, Stock Decrease and Stock Limits, the data in the header and in the By Location tab will be updated.
- Stock will be valued using the weighted average price, equal to the average purchasing price of each stock entry.
Best Practice
- Specify the minimum and maximum values for each consumable model whose stock you want to monitor in order to avoid understocking (minimum value) or overstocking (maximum value).
- You can do this by selecting Operation or Transition > Logistics > Stock Management.
- By default, only consumable models whose available stock has reached the critical threshold are displayed (Detailed Order Records filter).
- Use the All Records filter to view all consumables regardless of their available stock.
- Define a scheduled alert:
- To trigger orders if the minimum stock limit is reached.
- To be informed when thresholds are reached.

Details
Type
Type: Type (full path displayed) associated with the current object.
example Consumables/Toner cartridges
Model: Name of the consumable model.
UNSPSCCode
UNSPSC Code: The code in the UNSPSC classification identifying the product, service or CI class associated with the model type.
Manufacturer
Manufacturer: Brand of the current object.
ManufacturerReference
Manufacturer Reference: Unique reference for the current object in the manufacturer's catalog.
RegularSupplier
Regular Supplier: Name of the main supplier where the current object is available.
No Logistics (Service): Used to indicate if the consumables associated with the model can be supplied via a Logistics step of the service request/investment request workflow (box is checked) or not (box is not checked).
AvailableForPurchase
Available For Purchase: Used to indicate if the current object can be ordered using the order management process (Operation > Logistics > Order menu) (box is checked) or not (box is not checked).
Reserved Stock: Quantity of reserved available stock.
- Update: Use movements entered manually in the Decrease Stock tab.
Physical Stock: Quantity of stock in all storage locations.
- Update: Automatically at each stock entry or exit associated with the consumable model.
Stock available: Quantity of available stock that takes into account reserved stock in all storage locations.
- Calculated field: Physical stock - Reserved stock
Average Price (Note: Only if the Available for Purchase box is checked): Average price for purchasing the consumable model proposed by default in the order management process.
- Update: Automatically at each stock entry associated with the consumable model.
Requested Quantity: Total requested quantity by service request/investment request.
Stock Value: Estimated stock value.
- Calculated field: Average price * Stock available
Pending Deliveries: Ordered quantity that has not yet been delivered.
- Update: Automatically when an order is placed, totally or partially received, or completed.
To view the details, select the Pending Deliveries tab.

By Location
Information on the stock of the consumable model, by location. This includes physical, reserved, available, minimum and maximum stock, average price, stock value and the quantity pending delivery.
Add to Stock
List of all stock entries associated with the consumable model.
- Update: In this tab (for initialization/adjustment) or via the reception of an order. You can also use an integration model based on the Consumable Stock available (Add Stock) connector.
Create a stock movement manually to initialize or adjust stock.

Stock Decrease
List of all stock exits associated with the consumable model.
- Update: In this tab (for initialization/adjustment) or via an incident/service request (destocking operation). You can also use an integration model based on the Consumable Stock available connector.
Create a stock movement manually to adjust stock or to reserve a quantity of available stock.
See the stock exit procedure.
- Stock reservation can only be performed at a date later than the current date. Once the date is reached, reserved stock will be reintegrated into available stock and its value will be reset to zero.
Stock Limits

Maximum and minimum amounts of equipment stock associated with the current object broken down by location.
- Only storage locations belonging to the current domain will be proposed.
Pending Deliveries
List of all orders for the consumable model that are in pending delivery.
- Update: Automatically when an order is placed, totally or partially received, or completed.
Not Validated
List of all requests for the consumable model that must be approved.
- Update: Automatically once a request requiring approval is created and once approval is given.
Approved
List of all requests for the consumable model that have been approved.
- Update: Automatically once approval is given.
Potential Suppliers
PotentialSupplierTab
List of suppliers who are able to provide the current object and their prices, in addition to the main supplier specified in the Details tab.
- PUE (Power Usage Effectiveness): This is the ratio of the total amount of energy used by a data center facility to the energy delivered to IT equipment, e.g. servers, storage, network. This metric is used by Green IT. The ideal PUE ratio is 1. If the ratio is greater than 1, this indicates that energy is being used by various electrical equipment other than the IT equipment deployed by the data center.

- The fields taken into account are defined using rules in the history of changes.
- This is the AM_ASSET table.

How to create an entry in the catalog
Step 1: Creating the catalog entry.
1. Select References > Catalogs > Consumable Catalog in the menu.
2. Click + New.
3. Specify the information.
4. Click Finish.
The form will be created.
Step 2 (optional): Specifying information on the stock.
1. Go to the Add to Stock, Stock Decrease and Stock Limits tabs.
2. Click + New.
3. Specify the information.
4. Click Save.
How to create a consumable stock entry
Initialization / Adjustment to the stock
1. Open the form of the consumable model.
2. Click the Add to Stock tab.
3. Click + New.
4. Specify the quantity of stock for the storage location you want.
4. Click Save.
The information will automatically be refreshed in the Details tab.
Loading stock from an order
Step 1: Creating the order.
1. Select Strategy > Logistics > Orders in the menu.
2. Click + New.
3. Specify the supplier of the consumable model.
4. Click Next.
5. Complete the order rows.
- (optional) Tick the See All Suppliers Catalog box to see the consumable models available for all suppliers. By default, only models that may be ordered will appear.

6. Save the order.
- Click Generate order.
- Click Finish.
The new order will appear.
Step 2: Performing the reception for the delivered items.
1. Select Strategy > Logistics > Pending Deliveries in the menu.
2. Select the received order.
3. Tick the rows of items to be delivered to a given storage location.
4. Run the Delivery Reception wizard.
5. Enter the quantities received.
6. Click Finish.
- Rows that are completely received will be deleted.
- The consumable model form will be refreshed.
Loading stock from an investment request
1. Create an entry in the investment catalog called Consumable investment request. See the procedure.
- The workflow associated with the request will automatically start.
- The order and delivery of the consumable model will be performed.
- The form of the consumable model will be refreshed.

1. Create an integration model based on the connector Consumable Stock available (Add Stock).
How to create a consumable stock exit

1. Open the form of the consumable model.
2. Click the Stock Decrease tab.
3. Click + New.
4. Specify the quantity to be destocked for the storage location you want.
5. Click Save.
The information will be refreshed in the Details tab.
Loading stock from an incident or a service request
1. Open the incident / service request.
2. Click the Consumables tab.
Note: On a request concerning a consumable model not managed by logistics, you can also click the Consumables (Without Logistics) tab.
3. Click + New.
4. Complete the information for the consumable model to be destocked
5. Click Save.
The information will be refreshed in the Details tab.
