The Admin Panel of Service Apps - User Management

Each Service Apps user is assigned the following:

  • User profiles:
    • A user profile determines what users are allowed to do on all of the data they are authorized to access.
    • There are four types of profiles: platform administrator (App Center Manager), app creator (App Creator), designer (Theme Designer) and standard platform user (Registered User).
  • Access rights to apps:
    • Access rights determine the apps and scopes of data users are authorized to access.
    • There are four types of access rights: administer, edit, duplicate and run apps.

Notes

  • Only the platform administrator whose profile is App Center Manager can manage users in the Admin Panel.
  • Service Apps users are those created in Service Manager.
    • User logins are those defined in Service Manager.
    • Forgotten or expired passwords are managed in Service Manager.
    • Any modification made to user information (e.g. login, password, language, photo or profile) in Service Manager will automatically be updated in Service Apps and vice versa.
  • The app administrator can define the access rights to an app in the App Gallery using Apps - Rights - Administer icon.png in the app toolbar.
  • Users belonging to a team will have access rights to the apps defined for this team as well as individual access rights to the apps assigned specifically to each user. 
  • Click a column header to sort data in each table.

Best Practice

  • By default, new users do not have access to apps. You should manually assign new users the access rights to each app they need to access.
  • To temporarily disable access to the platform for specific users, e.g. during their annual leave, you should not delete the users. Instead, you should:
    • Disable their user profiles.
    • Reactivate their profiles and authorize access again at a later time.

Assign profiles

Name: List of users authorized to access the platform.

  • Click a user to change the user information and define the access rights to the list of apps.

Email: Email address for logging in to Service Apps.

Profiles: Profiles for the user. Select the options you want.

     Note: The App Creator and Registered User profiles will automatically be assigned to these users.
    • Users in charge of managing platform access. They have all of the rights for all apps on the platform.
    • Users authorized to create connectors other than easyVista IT Service Manager which are managed by EasyVista. They can also create aliases and execution contexts.
    • Users authorized to create and modify themes.
  • Apps - App creator Profile.png App Creator
    Note:  The Registered User profile will automatically be assigned to these users.
    • Users authorized to create new apps. They are authorized to duplicate the apps viewed even if they are not authorized to edit them.
    • Users authorized to create connectors other than easyVista IT Service Manager which are managed by EasyVista.
    • Users not authorized to modify themes.
  • Apps - Theme designer Profile.png Theme Designer
    • Users authorized to create and modify themes.
    • Users not authorized to modify connectors, aliases or execution contexts.
  • Apps - Registered user Profile.png Registered User
    • Users authorized to run apps whose rights they have been assigned. They are not authorized to modify, duplicate or create apps.
    • Users not authorized to modify connectors, aliases or execution contexts.
    • Users not authorized to modify themes.
  • Apps - Public user Profile.png Public User
    • Users for whom certain parameters (e.g. language, domain, time zone, date and number formats) have been predefined. This user configuration is applied in the public pages of an app. Open url.png See Public mode.

Last Connection: The date/time that the user last logged in to the platform.

Assign access rights to apps

Access: Select a user from the list of users.

User Name: Name of the user.

Email: Email address for logging in to Service Apps.

Profile: Profiles for the user. 

  • Select the options you want.
    • App Center Manager: Users are authorized to administer the platform.
    • App Creator: Users are authorized to create apps.
    • Theme Designer: Users are authorized to create themes.
  • If you only want to assign the Registered User profile, return to the list of users.
     

Table of access rights by app: List of apps available on the platform. Select the apps the user will be authorized to access and specify the rights for each of them.

How to manage access rights to the Service Apps platform

Step 1: Access the Admin Panel

1. Log in to the platform using the App Center Manager profile.

2. Click Apps - Gallery - Admin panel icon.png Admin Panel in the toolbar.

Step 2: Assign user profiles

1. Click Apps - Admin panel - Users management icon.png Users Management.
The list of users authorized to access the platform will appear.

2. Select the profiles for each user.

Note: If you only want to assign the Registered User profile, return to the list of users. Unselect the App Center Manager, App Creator and Theme Designer profiles. Select the Registered User profile.

  • App Center Manager: Users are authorized to administer the platform. Note: If you select this profile, the user will also have the App Creator and Theme Designer profiles.
  • App Creator: Users are authorized to create apps.
  • Theme Designer: Users are authorized to create themes.
     

Step 3: Assign access rights to apps on the platform

1. Click the relevant user in the table of users.
The list of all apps on the platform will appear.

2. Select the apps the user needs to access.

3. Assign the access rights to these apps.

Best Practice icon.png  You can assign access rights to apps in a batch.

  • Select the box in the app table header to select all apps.
  • You can then narrow down your selection by unselecting the apps you want to exclude.
  • Select the access rights to the selected apps.
    The selected apps will all have the same access rights.

4. Click OK.
 

Step 3: Return to the App Gallery

1. Click Apps - Admin panel - Back to store icon.png Back to Store.
