The Self Help content validation workflow


The procedures and resources for each Self Help project are managed via a content validation workflow from creation up to publication. This tool optimizes Self Help project content made available to writers and administrators.

  • Contributors can assign a status to the Procedure or Resource component once they have performed their task, e.g. writing, proofing, adding information, etc.
  • The status changes with the progress of task completion by contributors.
  • Final validation indicates that content publication can be performed.

Notes

  • Statuses are defined by EasyVista.
    • You cannot create a new one or modify an existing one.
    • The status changes as the workflow progresses://Draft//, To be approved, Rework, Approved, Published.
  • The initial status for all content created in a Self Help project is Draft.
  • The status of all content imported from a Self Help project can be kept (i.e. status saved in the archive), or initialized using one of the workflow statuses.
  • You can force the publication of a Self Help project even if some of its content is not approved.

  • The writer creates the new content, i.e. procedure or resource, in the Self Help project.
Draft

Note: Automatically assigned status

Self Help project content import Writer
  • The writer imports all of the content from another Self Help project.
Statuses are identical to those in the source project or initialized using a specific status

Note: The writer indicates the status applicable to all content when importing the archive

Content approval request Writer of content
  • The writer submits a content approval request to an expert with the relevant approval rights for the project.
  • The expert receives an email indicating that there is new content to be approved.
To be approved

Option in the contextual menu: Request change approval

Change approval Expert
  • The expert validates the changes made by the writer.
Approved

Option in the contextual menu: Approve changes

Writer of content
  • Writers with approval rights for the Self Help project can perform the approval themselves.
Approved

Option in the contextual menu: Approve changes now

Change Rejection Expert
  • The expert rejects the changes made by the writer.
  • The expert must enter a comment explaining why the content was rejected.
  • The rejection reason is displayed in the content properties.
Rework

Option in the contextual menu: Reject changes

Publication Administrator
  • The administrator publishes all of the approved content in the Self Help project. Note: You can force the publication of the project even if some of its content is not approved.
  • After publication, users will be able to access all authorized content, regardless of the status.
Published

Note: Automatically assigned status, only for content whose previous status was Approved.

Procedures

How to assign a status to content

Step 1: Select the Self Help project.

1. Select the Self Help project in the tree structure of the Explorer pane.

2. Click Tree expand icon.png to display the tree structure.

Step 2: Assign a status to content.

1. Right-click the content and select a status from the contextual menu.
Note: The statuses available depend on the progress of the workflow for the selected content. Open url.png See Description of the process steps.

The status in the tree structure will be refreshed.

How to see the content status

Step 1: Select the Self Help project.

1. Select the Self Help project in the tree structure of the Explorer pane.

2. Click Tree expand icon.png to display the tree structure.

Step 2: View the statuses for all components.

1. Click Status icon.png in the toolbar in the Explorer view.

2. Click Show status or Hide status to show or hide the status of each component.

Best Practice icon.png  Filter the content displayed in the tree structure by selecting the statuses you want from the drop-down list.

Step 3: View the status of a specific component.

1. Display the Properties view by selecting View > Properties in the menu.

2. Select the Info tab.
