EV Reach - Reporting Process Automations
Viewing a Report
EV Reach always generates Process Automations output data in XML. The XML report database of a Process Automation is stored in the directory as specified in the Output Settings of the Process Automation properties. If you need to quickly access this XML data file, right-click on the Process Automation object and select Open Report Directory from the menu.
To have EV Reach open the report, select the Process Automation object and either:
- Click on the View Report button in the Ribbon Bar.
- Right-click the mouse and select View Last Run's Report from the menu.
Choosing a Report Format
EV Reach offers multiple formats which you can use to view your report data.
To choose a format, select it from the selection box and click on the OK button. If the format you selected has never been generated, the conversion process starts. If the format you selected has already been previously generated, it is directly opened.
HTML Report Views
The HTML Report format uses tables to display the information reported. It has been designed for easy side-by-side attribute comparisons. Each information category has its own column and the information reported for each object is inserted as rows.
The report view also has a set of options which can be used to manage the format of the view. For instance, you can control the number of rows displayed simultaneously, sort the information, search or filter the information. These options are explained in detail below.
Setting the number of rows to display
By default, 10 rows of information is displayed per page. However, you can set this number to any desired value by entering the number of rows to display in the Show field. The Show field is in section Figure1-B.
Filtering the information to display
The report view allows you to specify information filters to narrow down the information displayed. Filtering is done by searching for a string using the Search box.
Searching for Information
Enter a search string in the Search field located in the Figure1-A section. Searches are not case sensitive. The report will filter all the columns based on the information entered.
Sorting the result set
Each column header has a descending (down arrow) and ascending (up arrow) sort button. To sort the result set for a column, click on the desired sort button.
Viewing the Execution Log
The execution report will show you how well the Process Automation ran. See details on how the Process Automation ran against each target object. You can access the Execution Log by clicking the link at Figure1-C.
Excel and CSV Reporting
Open with Microsoft Excel
If Microsoft Excel is installed on your machine, choose this report option to open the XML data using Excel. Excel will automatically convert the XML data into a spreadsheet.
This is a good choice if you want to further work on the data or view all data in a single table.
Exporting Information to a CSV file
To export the information contained in the table into a comma separated value, click on the export in CSV button located at the top right corner of the report. The browser then prompts you to save or open the CSV data file. Once the information is saved in CSV format, it can easily be imported into other applications such a Microsoft Excel® for further processing.
Text File View
Choose this format to have EV Reach convert the XML information into a text file. This format generates a single output text file containing the full set of information. The text file is stored in the output directory as specified in the Applications Directories settings. The text file name is the name of the Process Automation with a '.txt' extension. For instance, generating a text report for the Process Automation called 'All Disabled Accounts' creates a new file named 'All Disabled Accounts.txt'.
This format is useful because:
- XML to Text conversion is fast.
- All information is inside a single file, allowing for convenient searches of data.
- Output text report files are smaller in size than other formats. If you intend to email the report, text format is more appropriate.
