Last modified on 2023/10/03 11:40

EV Reach Account Management

EV Reach features a sign-on based licensing system which can be managed via a web portal accessible at https://my.goverlan.com.

The client portal can be used to:

  • Download your products
  • Provision user logins
  • Allocate licenses to users
  • Review license usage
  • Access Trial and Beta programs of our remote access software

EV Reach Remote Access Software Free Trial License

If you are trying EV Reach for the first time, a temporary login id/email and password will be emailed to you. Or you can register for the EV Reach remote access software 30-day free trial.

Current Clients

If your company purchased EV Reach, contact the EV Reach license administrator. Each company has a designated license admin, who is able to create new users, assign licenses to users, revoke/reclaim licenses, or perform other administrative tasks.

Best Practice icon.png  Need to know who your account admin is? Contact our Sales department to inquire.

If you are the license admin, login to the Portal to start creating users and assigning licenses.

Acquiring a Software License

By default, every new account is provisioned with a EV Reach product trial license. The trial license authorizes up to 5 concurrent uses of the software for 30 days.

At any time, you can convert this trial license to an active license via my.goverlan.com or by contacting our Sales Department.

License Types & Deployment

When purchasing a new license, you can select the delivery model that best satisfies your requirements.

Subscription Based License

Pay as you go – This license model allows you to use the latest version of the software and receive technical support during the terms of your subscription.

License Deployment Options

Once a EV Reach license has been purchased, it may be deployed in two ways.

  • Floating Licenses - This option allows EV Reach licenses to be temporarily deducted from a pool of licenses until EV Reach is closed.
  • Fixed Licenses - This option allows EV Reach licenses to be permanently deducted from a pool of licenses until the EV Reach user signs out of EV Reach.

Using EV Reach Software Products

Signing-On to EV Reach

When you launch the EV Reach software product, you will be prompted to log in using your my.goverlan.com login id / email and password:

image1-11.png

  • Enter your login ID and password to sign in
  • Select free the license when I close the program to acquire a floating license (See Floating vs Fixed section later in this document).

Note: The name of each license owned can be customized by an account administrator (see Renaming Licenses).

Note: If you are using EV Reach within a Citrix or TS farm environment, you must select free the license when I close the program to avoid duplicates in license consumption.

Once you have authenticated, EV Reach acquires a license for your product. In the event multiple licenses are available, EV Reach will prompt you for which license to use:

image2-8.png

By default, license admins are authorized to use all available licenses owned by the account. A standard user will only see the licenses that have been assigned to the user’s account.

Once you have selected a license, the sign-on process is completed. You will no longer be prompted to sign-in upon starting the software.

Floating vs Fixed Licenses

Signing-in to EV Reach uses a license count from the selected license pool. Once all licenses have been consumed, any subsequent sign-on will fail.

During a sign-on, a fixed or floating license may be acquired:

Fixed LicenseSign-in to the EV Reach product permanently.

The license allocation kept for you and is released only when you manually sign out of the product via the license information panel.

Floating LicenseTemporarily allocate a license to access the EV Reach product.

The license is released:

  • If the EV Reach product is closed.
  • If the product is not used for a configurable period of time.
  • If you opened the product via an RDP session and this one is disconnected.

To enable Floating License mode, check the free the license when I close the program during sign-in.

Floating license mode can be enforced via Policies (see License Service Global Policies)

What information is transferred outside of my company

A sign-on is an HTTPS request (SSL) sent to gls.goverlan.com. By default, the following information is sent encrypted and stored in your account on my.goverlan.com:

SentExample
Your my.goverlan.com user ID and passwordjohndoe@corpxzy.com (*******)
A host unique identifier for the machine hosting the software in the following format: [USER ACCOUNT] on [MAC ACCOUNT]CORPXYZ\JohnDoe on CORPXZY\JDMAC
Miscellaneous product and license informationProduct ID, Product version, Licensing format

The host unique identifier contains private information. This data is transferred over our secure servers solely to facilitate license usage management when you use the client online portal (see Viewing and Managing License Usage).

However, if your security compliance policy forbids the transfer of confidential company information, Use the License Service Global Policies to set a policy on your network to prevent real identities from being used. In this case the host ID will be a random unique identifier. See: License Services Global Policies.

Viewing license information

Once you have signed into EV Reach, you can review the EV Reach account and license information from within the product by opening the application information panel:

AdminConsole_ApplicationTab.png

This panel provides product, license, and account information as well as controls for each section.

Note: Some sections and actions are only available if you signed in with a license administrator’s account.

What if my license feature set has changed?

A license has features associated with it. If the license’s feature set used to activate the product has changed, you must click on the Refresh option in the License Information section to reload the license.

How do I release my license?

If you wish to release the acquired license, or wish to sign-in to a different license, you must sign-out of your product.

To do so, open the application information panel and click on the Sign out option under the EV Reach Account section.

What if I don’t know my ID or password?

If you do not know your EV Reach Login ID, you must contact the EV Reach license administrator that has been assigned to your company account.

Upon entering any password in the Sign-In window and attempting to sign-in, an incorrect password will trigger the display of the password reset link:

image4-7.png

Use this link to proceed to a password reset.

What if I don’t have internet connectivity?

If a firewall or web proxy is configured and preventing access to the EV Reach Licensing Servers, the following options are available:

Enabling Silent Sign On

If you do not wish to distribute sign-in credentials to EV Reach Operators, or if you do not wish EV Reach Operators to have to sign-in to the EV Reach software in order to use it, use one of the following methods:

Global License Policies

Floating and Fixed License Policies can be configured globally in the my.goverlan.com portal by Admin Users via the Global License Policies button:

MyPortal_Licenses.png

Individual Policies Per License

Each License also has its own corresponding Configure License Policiesbutton under the Self-Service Area for exclusive policy configurations per license.

Managing Software Licenses

Product and License Navigation

The my.goverlan.com portal allows you to review and manage your licenses and licensed users.

MyPortal_Licenses-1.png

The Licenses area displays the products you can use and the license associated with these products.

Initially, you will only see a single product and a trial license. However, as you purchase more licenses, they will be displayed in this area.

You can browse through your products and product licenses to view their status, features, and authorized users.

Adding EV Reach Server Licenses

The EV Reach Server product requires a unique license per instance of the server. You cannot use a EV Reach Server license to sign-in to two different servers. You can, however, have an unlimited number of EV Reach Server licenses.

To create a new EV Reach Server license:

  1. Select the EV Reach Server product tab
  2. Click on the Add License link
  3. Specify a unique name for the new license

Renaming Licenses

If your company owns more than one license for a product, you have the option to rename them to facilitate license selection during sign-on.

The name of the license can be used to describe the features enabled on this license, or to allocate license pools to specific sub-organizations of your company.

To rename a license, select it, place your mouse cursor over the license name and click on the edit button.

Managing License Users

In order to consume a license (by signing into a software product), a valid EV Reach account must be used. A EV Reach account can either be a license administrator or a standard user:

AdminAdmins have full access to the entire EV Reach company account. Admins can add new users, assign user licenses, revoke licenses, purchase new licenses, or perform other management tasks.
UserUsers can only consume a license that has been assigned to them and manage their own license consumptions.

An Admin account is authorized to consume any licenses. However, a standard user account can only consume the licenses that have been assigned to them by a license administrator.

Adding a User

As an Admin, you can create as many user accounts needed for your company. You may choose to only create a single common user account to be used by all operators, or create a unique user ID for each operator.

To create a EV Reach user, select the Users section of the portal, then:

  1. Click the MyPortal_AddUsers.png option
  2. Enter the User ID to define this user. A user ID must be in the format of an email address.
  3. Enable Use user ID as notification email, if the user Id is entered above can be used for email notifications (for instance when sending password information). Disable this option to specify an alternative email address to be used for notification.
  4. Select the Role for this user
  5. Click on Save

If the new account created is a standard user, you will be prompted to select the licenses you wish to assign to this new user. Select one or more licenses and continue.

Editing a user

All information of a user account can be edited, except for the user ID. To change the user ID of an account, you must first delete it then recreate it.

To edit your account’s information, click on your account icon in the header bar and select Settings.

Resetting Passwords

To reset the password of a user account, click on the Reset option for that user. A reset action changes the account's password to a temporary one and emails the password to the user (using the configured notification id).

Deleting a user

To delete a single user, click on the Delete option for that user.

To delete multiple users, select each account in the list using the checkbox then click on the Delete option at the bottom of the table.

Upon deleting a user account, you will be prompted if you wish to revoke all licenses consumed by the account. Opting for the revocation of the user licenses will force a new license acquisition for all product instances that were signed in with that account within 24 hours.

User Policies

User Policies can be used to further control the level of access license users have in the portal.

The following Policies are available:

  • Allow users to access Self Service Area - This policies gives the license user the ability to log in to the portal, download EV Reach releases, perform other licensing tasks for their own account and reset their own passwords.
  • Allow users to release their own licenses - This policy allows the user to log in to the web portal and release any licenses they are using and reset their own password.
  • Allow users to access EV Reach Portal - This policy allows the user to log in to the portal and manage their own passwords.

If no policies are given, the user is not able to access my.goverlan.com.

Assigning licenses to Users

In order to use a license (by signing into a software product), a valid EV Reach account must be used. By default, an Admin account can use any licenses. However, a standard user account can only use the licenses that have been assigned to them by a license administrator.

To modify a license user assignment, navigate to license object and click on Authorize User under the Authorized Users section. This presents you with the license of available standard users:

image7-10.png

Place a check mark for all users to grant them access to that license and then click Save.

Assigning Portal Permissions to Users

Access User Portal Permissions via the Edit User Policies button above Add User. The following permissions will be added to the EV Reach Portal. These permissions apply to all USER accounts, not admin accounts.

MyPortal_UserPolicies.png

The permissions range from least restrictive to most restrictive.

  • Allow users to access self-service area: This permission is the standard user permission. Users can access self-service area features, revoke their own licenses and change their own passwords
  • Allow users to release own licenses: Users will not have access to any self-service resources but can release and change their own passwords.
  • Allow users to access EV Reach Portal: This permission will allow the user to change their own password only and view license data only.

Removing all the permissions will result in the account users not being able to log in to the portal. They will need to contact their license admin for any changes.

Viewing and Releasing License Usage

Viewing License Usage

The license information panel includes an area that displays the number of authorized product licenses ("owned") and allocated product licenses ("used"), your Product Edition, License Type, and a Manage Subscriptions shortcut.

MyPortal_LicenseInformation.png

To view the accounts consuming a license, click on the View Details option.

A detailed report of license consumption is then displayed:

MyPortal_LicenseUsage.png

The Host column displays the host identifier of the session in which the product license was used. This host string is provided to facilitate the identification of the consumer. However, if you have enabled the No Real Identity policy (see License Services Global Policies), this column will only display a random unique string.

Releasing a License

In order to reclaim a license that is in use, EV Reach Operators must manually sign-out of the software. However, in the event this operation is not possible, you can release a license from the client portal.

  • To revoke a single license usage from the portal, click on the Release option of desired license usage row.
  • To revoke multiple license usages, select the checkbox for the desired rows and click on the Release option at the bottom of the table.

Once a license usage has been released, the affected operators will be signed-out of their product within 24 hours.

Note: Revoking an Offline Sign-On requires an Offline Sign-Out Confirmation Code (see Off-Line Sign-on of Operators.

Self Service Area

Download your Products

Click the link to download the latest available version of the licensed product.

Note: For perpetual licenses, the accessible product versions are released within the terms of your maintenance contract.

You can also easily access the latest version of our product by opening the Downloads area of the portal.

Process Offline Request

Note: In the event internet connectivity is not available from EV Reach Operator’s machine, it is preferable to implement On-Premise EV Reach Licensing Services. If the EV Reach Licensing Services cannot be implemented, then use the method described in this section.

Use this action to process an Offline Sign-On request or an Offline Sign-Off confirmation generated by a EV Reach Operator. Offline license operations allow EV Reach Operators to use our products on a system that does not have internet access or has strict firewall/web proxies.

Processing an Offline Sign On

Restrictions

  • Offline Sign On only supports Fixed Licensing. Floating licenses cannot be configured.
  • Offline Sign On are bound to the license expiration date and product version. At the anniversary of the license expiration date, the EV Reach software may require a new Offline Sign-On operation.

EV Reach Operator - Generating a Request Code

Upon starting the EV Reach software, you will be prompted to sign into your EV Reach account. If EV Reach detects that online access is not possible, it will display an Offline Sign In option at the bottom right corner of the window:

image11-8.png

image12-8.png

Select Generate Email or Copy to Clipboard to deliver the code to your license administrator.

License Administrator - Processing the Request Code

  1. Log in to my.goverlan.com and select the license to be consumed by this request.
  2. Click on Process Offline Request and paste the request code into the field

    image13-7.png

  3. Click the Process button to have the response code generated

    image14-7.png

  4. Send the response code to the EV Reach Operator

Processing an Offline Sign Out to release a license

To reclaim a license acquired via an Offline Sign On, an Offline Sign Out must be performed.

EV Reach Operator - Signing out of EV Reach

Use the Command-Tab, click Offline Sign Out

image15-7.png

Select the preferred method of transmitting the confirmation code to the license administrator:

image16-7.png

Transmit the Sign-Out Confirmation Code to your license administrator.

License Administrator - Releasing the License in my.goverlan.com

Select Process Offline Request from any license object and paste the Confirmation Code into the field to release the license.

The license object from which the release operation is performed is irrelevant. Once released, the system will provide you with the name of the license that corresponds to the request:

image17-7.png

What if the Confirmation Code is lost or was never sent?

  • Ask the EV Reach Operator to reopen the EV Reach software and sign in again. This must be done under the same Windows account and the same machine as the previous sign-in.
  • Once signed-in, ask the EV Reach Operator to sign-out again out of the software.

If this operation is not possible, you will not be able to revoke the license usage. In this case, please contact EV Reach Sales for assistance.

Generate Silent Sign-On Token

Use this method if you do not wish to distribute sign-in credentials to EV Reach Operators, or if you wish to have EV Reach sign-in automatically. You must also use this method if Automatic License Distribution via an On-Premise EV Reach Licensing Services cannot be used.

Silent Sign-on works by generating a sign-on token and distributing this token alongside with the EV Reach software installation package, or pre-configuring this silent sign-on on your operator’s machine prior to the installation of the product.

A silent sign-on token must be associated with a non-admin authorized user id. This is important as it allows you further controls once the silent sign-on has been distributed on your network. As a best practice, you should create a standard user id: silentsign@yourcorp.com and associated to your license.

Click on the Generate Silent Sign-On Token link in the Self-Service Area to generate a sign-on token for the selected license and product:

image18-7.png

Select the user to associate with the sign-on as well as the license delivery type (Floating or Fixed). The click on Generate.

Once you have a silent sign-on token string, you must distribute it the all operator machines before the operator opens EV Reach. This string must be placed in the Windows Registry under the following path:

 Registry PathValue Name
EV Reach Suite v8.50HKEY_LOCAL_MACHINE\SOFTWARE\Policies\PJ Technologies\EV Reach Universal Settings\GLICREG_SZ:

SCODE-GOV-SUITE

EV Reach Suite v9HKEY_LOCAL_MACHINE\SOFTWARE\Policies\EV Reach Inc\Global Policies\GLICREG_SZ:

SCODE-GOV-SUITE

Protecting your license / Disabling a Silent-Sign-On

As a single sign-on is distributed via the registry, it is accessible to anyone. It can then be used on any machine and consume your license count without your approval. By associating your silent sign-on token to a dedicated EV Reach user account will allow you to detect this situation more quickly.

To disable a Silent-Sign-On token, you must delete the user id associated with it or de-authorize this user from the license. Then a new silent sign-on must be generated.

On-Premise EV Reach Licensing Services

If internet access is not available from the EV Reach Operators’ machines, or if silent license distribution is desired, the On-Premise EV Reach Licensing Services need to be implemented on your network.

The EV Reach Licensing Services are implemented via the EV Reach Server (a free component to our client).

To view instructions on how to implement a EV Reach Server, please refer to the products’ user guide:
