Domains


The domains allow defining the Product name - ev itsm.png data to which may access a given user/user group; different with each organization, the domains can be defined compared to the functions executed by the employees, compared to their responsibilities, to their geographical location...

A domain establishes a kind of permanent filter that is applied to the Product name - ev itsm.png connection and constructed by using the restriction criteria depending on locations, departments, categories of equipment and subjects:

  • If several criteria are defined for a domain, they are bound by one logical AND;
  • If several values are defined for the same criterion, they are bound by one logical OR.

Moreover, the design of a domain is a tree structure. When the user reaches a domain with a restriction on a criterion, he can visualize all the recordings belonging to this criterion, as well as those of all the attached sub-levels.

Examples

1. Domain with several values for a criterion: logical OR

  • A domain has a restriction on two locations: Europe/Germany and Europe/France.
  • A user who connects to this domain:
    • Sees all the elements related to each of these localizations and their sub-levels (Example: Europe/France/Paris or Europe/France/Lyon);
    • Does not see the elements related to the other locations (Example: Europe/Spain or Europe/Italy).

2. Domain with several criteria: logical AND

  • A domain has a restriction on the category of equipment IT Equipment/General Asset and on the location Europe/Germany.
  • A user who connects to this domain sees only the equipment of the category General Asset attached to the location Europe/Germany and those attached to the sub-levels.

Notes

  • A user can be related to one or more domains: He always connects himself to a default domain and can then switch to his other domains via the User information zone.
  • When a user is not related to any domain, he will be connected to the domain The whole company and may consult all the records in Product name - ev itsm.png, without restriction.

  • The user that has a restriction of domains makes inherit this restriction on all the domains that he creates. To avoid this, it is thus advised to use the account The whole company which does not have any restrictions.
  • Linking domains to users is done via the Update Domain wizard on any user list.

Menu access: Administration > Access Management > Domains

Description: Description identifying the domain. 

Default Location: Description of the default location related to the domain. On each form where a location must be entered, this location is the one that will be saved if no other value is entered.

Default Department: Description of the default department related to the domain. On each form where a department must be entered, this department is the one that will be saved if no other value is entered.

Default Category: Description of the default equipment category related to the domain. On each form where an equipment category must be entered, this equipment category is the one that will be saved if no other value is entered.

Default Topic: Description of the default incident/service type related to the domain. On each form where a topic must be entered, this topic is the one that will be saved if no other value is entered.

Employees: List of users assigned to the domain.

  • Update: via the the employee directory

Locations: List of restrictions of locations defined for the domain.

  • Update: via the wizard Manage Domains

Departments: List of restrictions of departments defined for the domain.

Categories: List of restrictions of categories defined for the domain.

  • Update: via the wizard Manage Domains

Topics: List of restrictions of topics defined for the domain.

Procedure and Wizards

How to create a domain and to assign it to a user

1. Proceed to the page Administration  >  Access Management  >  Domains and click on Add icon.

2. Enter the description of the new domain then click on [ CREATE / UPDATE ].

3. Specify the restrictions of the domain by browsing the different creation steps using the [ NEXT ] key and then click on [ FINISH ] to save the information.

4. Assign the domain to a user: Proceed to the employee directory and launch the action Update Domains for the related user.
Note: The assignment of the domains will take place the next time the user connects to Product name - ev itsm.png.

Wizards

Manage Domains: Defines the restrictions of the domain.

  • To add a restriction, click on Plus icon.png; then click on the description N/A and select the restriction in the tree structure.
  • To change a restriction, click on its name and select the new tree structure.
  • To delete a restriction, click on Minus icon.png related to the restriction. 
  • The None value allows to close the tree structure without changing the actual value.

Best Practice icon.png  If you select several values for a restriction, do not forget to specify a default value. 

Delete (Note: Only for an element not used in the application): Deletes the domain.
